Xero connects small businesses to their advisors and other services. For accountants, Xero forges a trusted relationship with clients through online collaboration and gives accountants the opportunity to extend their services.

Overview

With Timble's Xero integration, you can automatically send timesheets and leave requests from Timble to Xero, eliminating the need for manual entry.

Adding Integration

To add Xero integration, go to Settings → Integration.

Enter your Xero account email and password to log in, then connect to your organisation in Xero.

Mapping and Configurations

After connecting to your Xero account, complete the following setup to export timesheets and leave to Xero.

Employee Mapping

Click Settings to update employee mapping. On the left side are the employees in Xero, and you can select corresponding team members in Timble. Leave it empty or set it to "ignore" if you don't need to export timesheets or leave for some team members.

Leave Mapping

Switch to the Leave Mapping tab to update leave mappings. Match leave types in Timble to leave types in Xero. If you don't use certain leave types, you can leave them empty.

Configuration

Turn on Enable Automatic Approval if you don't want to manually approve timesheets in Xero. If this is turned off, the default status will be "Pending" in Xero after exporting.

Exporting Timesheets

Before exporting, ensure all timesheets for the pay period are approved. Click Export, select Xero (NZ).

Choose your pay calendar and pay period, then click Continue.

Select the team members you'd like to export, then click Export.

After exporting, you will see your timesheets in Payroll → Timesheets.

Exporting Leave Requests

Make sure all leave requests are approved before exporting to Xero. Use the Leave Calendar for a quick overview.

Switch to the Requests tab and then click the Export to Xero (NZ) button to start exporting leave. Select the date range and click Export.

To review leave requests, go to Payroll → Leave in Xero.

Processing Payroll

After exporting all timesheets and leave for the pay period, go to Payroll → Pay Employees to continue.

Troubleshooting

  • Pay period incorrect when exporting timesheets?
    • Check that all staff pay calendars are set correctly in Xero.
    • Go to Settings → Payroll Settings → Pay Frequencies in Xero to ensure pay frequencies are correct.
    • Make sure there are no draft pay runs for that period in Xero. If there is a draft, discard it and try again. Go to Payroll → Pay Employees to see all your pay runs.
  • Can't see team members when exporting timesheets?
    • Check that employees are mapped correctly in Timble's Xero Integration.
    • Ensure employee pay calendar settings are correct.
    • Confirm that timesheets are approved.
  • Can't see the export leave button on the leave page?
    • Ensure leave types are mapped correctly and refresh the page using your browser's refresh button.
  • 401 error?
    • Go to Xero, open Company Settings → Connected Apps, disconnect Timble, and reconnect to Xero.
